BIG COUNTRY AGRICULTURAL SOCIETY
DAILY RENTAL CONTRACT 2025 – 2026

The goal of the Big Country Agricultural Society is to provide, to the best of our ability, a venue which will enhance the success of activities held within our facility.

The Big Country Agricultural Society (BCAS) rate for rental is $393.75 per day including GST of $18.75. The daily rate becomes effective after 4 hours. A $200 nonrefundable booking deposit is required. This will be applied to rent when activity occurs. A $200 damage deposit is required and will be returned upon inspection of the facility at the completion of the rental. Please note that the renter is responsible for any damages occurring over the $200 damage deposit.

The renter must sign a contract and a waiver before access to the facility will be granted.

BIG COUNTRY AGRICULTURAL SOCIETY RESPONSIBILITIES

  • Provide a clean, safe venue.
  • Provide a tractor operator for a fee of $300 per day plus GST if requested.
  • Maintain and clean bathrooms for the duration of the event.
  • Provide catering services as needed, at going rate.
  • Provide a public address system.
  • Provide a building manager to answer questions (Cheryl - 403-664-9872).
  • Provide A-frames so that power is available to the renter wherever required.

RENTER RESPONSIBILITIES

  • Provide all office equipment required and any other equipment not available from the BCAS.
  • Pay for any damages to the BCAS facility or equipment caused by activities at the event.
  • In consideration of the subsidized rate charged nonprofits they must clean up the facility and return it to the condition in which it was found.
  • BCAS strongly recommends that the renter acquire their own insurance, naming BCAS, Special Areas and the Town of Oyen as additional named insured.

CONDITIONS

  • Deposit of $200 must be received to confirm booking. Remainder is due 48 hours after event.
  • Only authorized BCAS personnel may operate the tractors.
  • Outsourced food for public consumption is not permitted, unless BCAS declines catering.
  • BCAS catering services must have first right of refusal.
  • If liquor is required at the event BCAS has first right of refusal to operate the bar.
  • If BCAS cannot operate the bar, the renter must obtain a liquor permit and post it before liquor is served on the premises.
  • If BCAS members are serving liquor as volunteers for the renter, the renter must provide the license.
  • BCAS reserves the right to rule on any issues that may arise concerning BCAS interests.

CANCELLATION POLICY

Cancellation is permitted within 24 hours of rental start time without penalties if due to inclement weather, impassable road conditions or ambient air temperature -20 Celsius or colder at the time of the event.

The following applies to all other cancellations:

  • 2 weeks prior to the event no cancellation fee.
  • Thirteen days to 48 hours prior to the event one half of rental fee will be charged unless the arena can be rebooked for the same amount of time.
  • Forty-eight hours and up to the time of the event the full rent will be charged.
  • Should the rent not be paid due to cancellation, the renter will not be allowed to book the arena again until the debt is paid in full.
